Landlord Leasing Checklist

As Soon As Possible:

  • Obtain Lead Paint Certificate and Lab Reports and email them over to us at [email protected] 
    • We have used Lead Safe Technicians – (215) 600-3610
  • Obtain a Commercial Activity License if you do not have one already
  • Obtain Rental License(s) and email it over to [email protected]
    • Upload lead paint certificate and results onto Eclipse
    • Pull Certificate of Rental Suitability (within 60 days of renting out the unit)
  • Determine rent price – we can assist by providing rental comps
  • Share your contact information with us:
    • Full Name of Owner
      • If LLC – please send us your Operating Agreement (OA)
    • Mailing Address
    • Subject Property Address
    • Email addresses for all signers
    • Phone numbers for all signers

 

Ready to List:

  • Review/Sign all rental listing contract paperwork – this will be sent out via DocuSign
    • Consumer Notice
    • Rental listing contract
    • Lead Paint Disclosure
    • Lead Paint Brochure
    • Lead Paint Cert/Records
    • Certificate of Rental Suitability (CRS) – we can get this from Eclipse once we obtain your rental license
    • Partner in Good Housing Brochure
    • Bed Bug Guide
  • Review Tenant Screening Guideline Brochure 
  • Acknowledge/accept the Application Requirement Sheet 
  • Schedule a time to meet at the property to do a walk-through and take pictures to market the unit
  • Fill in/Sign W9 Form and email it to us – https://www.irs.gov/pub/irs-pdf/fw9.pdf
  • Fill in/Sign the Direct Deposit Authorization Form

 

Application Review/Lease Signing:

  • Review all applications as they come in and deny/accept tenants 
  • Review and sign lease documents:
    • Lease
    • Any addenda (pet addendum, additional rules & regulations, COA/HOA addenda, etc)
  • Receive move-in payments (1st month, 12th month, and security deposits) and deposit them in escrow

 

Move-In:

  • Confirm that the property is move-in ready
  • Wait to turn utilities off until at least 3 days after the tenant moves in
  • Provide a copy of the keys for each tenant on the lease
